When Does a Company Need Its Own Server?

Small companies often start with laptops, USB sticks and email. As the company grows, a question comes up: do you need your own server? The answer isn’t always yes — cloud services are often enough.

Signs it’s time to think about a server

• File chaos — several versions of the same document on different computers, and nobody knows which is the latest;
• Local business software or a database — accounting, warehouse or other software that doesn’t run in the cloud, or runs better locally;
• More users — and a need to manage access centrally;
• Access control — who sees which folder has to be clearly defined;
• Large files — projects, video or drawings that load slowly over the internet.

Alternatives

• Microsoft 365 (SharePoint, OneDrive, Teams) — file sharing and collaboration without a server in the office;
• A NAS — simple file storage for the local network;
• A cloud server — a virtual server with no hardware in the office;
• Hybrid — a local server for business software, plus the cloud for email and backup.

If the server goes in the office — what to plan for

• A UPS — so the server shuts down cleanly during a power cut;
• Backup — a server doesn’t replace backups; the 3-2-1 rule still applies;
• The room — ventilation, temperature, dust, a locked cabinet or room;
• Monitoring — automatic checks of disks, temperature and services;
• Updates and administration — a server needs regular maintenance.

💡 Tip: Before buying a server, write down what will run on it, how many users it will have, and what happens if it’s down for a day. That list makes the choice much easier.
